The Role
As the Executive Assistant to the CEO, you will play a pivotal role in supporting our CEO, Kait Stephens, by managing daily operations, scheduling, communications, and ensuring the efficient functioning of the executive office. You'll be a trusted partner, enabling Kait to focus on strategic priorities by handling logistics, coordinating meetings, preparing materials, and acting as a liaison between internal and external stakeholders.

What You’ll Do
- Provide high-level administrative support – Manage Kait's calendar, schedule meetings, and prepare agendas to ensure optimal time management.
- Serve as the main point of contact – Act as a liaison between Kait and internal teams, clients, and external stakeholders, managing communications to ensure timely responses.
- Coordinate meetings and events – Schedule and organize internal and external meetings, including logistics, travel arrangements, meeting rooms, and materials. Take notes and follow up on action items as needed.
- Assist with strategic projects – Support various strategic and operational projects, helping to track progress, deadlines, and deliverables.
- Prepare and edit documents – Draft and edit correspondence, reports, presentations, and other materials for executive review, ensuring clarity and professionalism.
- Organize travel logistics – Plan and coordinate travel itineraries, accommodations, and other logistics for Kait, ensuring schedules are efficient and cost-effective.
- Maintain confidentiality – Handle sensitive information with discretion, maintaining a high level of confidentiality and professionalism.
- Support personal branding efforts – Assist Kait in managing her personal brand, including coordinating content for platforms like LinkedIn, where she is recognized as a Top Commerce Voice and Omnichannel Marketer Podcast Host.
- Provide additional support – Assist with special projects, personal tasks, or organizing company-wide events and team-building activities as needed.
Who You Are
You’re a strong fit for this role if you have:
- Bachelor’s degree or equivalent work experience.
- 3+ years of experience as an Executive Assistant or in a similar administrative role, preferably in a fast-paced, technology-driven environment.
- Exceptional organizational skills with the ability to manage multiple tasks and priorities efficiently.
- Strong verbal and written communication skills; ability to interact professionally with internal and external stakeholders at all levels.
- Proficiency in office productivity tools (Google Workspace, Microsoft Office Suite, Slack) and project management software.
- Ability to anticipate the needs of the CEO and act proactively to ensure smooth operations.
- Strong attention to detail and accuracy in document preparation, scheduling, and communication.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
- High degree of professionalism and poise, with a problem-solving mindset.
- Flexibility and adaptability to work in a dynamic and growing startup environment.
- Familiarity with social media platforms, especially LinkedIn, and personal branding strategies is a plus.
